2. Which personal data do we process?
We process personal data you provide to us or that arises from using our website.
Contact forms and email
When you contact us, we may process your name, email address, telephone number, business details and the content of your message. Further correspondence about your enquiry may also be retained.
Online chat
Orbyte uses Social Intents. When you use the chat function, we may process your conversation and any information you share voluntarily. Technical data may also be processed to enable the chat.
Technical data
Visiting our website may involve processing technical data, including IP addresses, browser type, device information, pages visited, timestamps and technical error messages.
Usage statistics
We use Google Analytics and Google Tag Manager. Depending on the settings and your consent, these may process data about how our website is used.
Please do not send sensitive personal data when it is unnecessary for your enquiry.
3. Why do we process personal data?
We process personal data for the following purposes and on the corresponding legal bases.
Answering your questions
We use contact details and messages to handle enquiries and provide the information requested. This is based on our legitimate interest in answering questions or, when you request a quote or contract, taking steps before entering into a contract.
Offering and delivering our services
When you become a customer, we process the data needed for quotes, contracts, project communications and service delivery. The legal basis is performance of a contract or, depending on the situation, our legitimate interest.
Securing the website
We process technical data to prevent abuse, investigate incidents and keep our website secure. We rely on our legitimate interest for this.
Improving the website
We use website data and, where applicable, usage statistics to evaluate Orbyte’s performance and usability. Non-essential cookies and similar technologies require prior consent.
Complying with legal obligations
We must process or retain certain data to comply with legal obligations, such as accounting and tax requirements.
4. Contact forms and email communications
When you complete a contact form or email us, we use your data to handle your enquiry.
Information marked as required is needed to process your enquiry correctly. Other information is supplied voluntarily.
Your data is not automatically used to subscribe you to a commercial newsletter.
5. Online chat through Social Intents
Orbyte uses Social Intents to support visitors directly through online chat.
When you start a conversation, your messages, contact details and technical session information may be processed to handle your question and enable the chat technically.
Social Intents is an external service provider. The exact technical processing, storage locations and applicable safeguards must be assessed using the current agreements with the provider.
Further information is available at https://www.socialintents.com/privacy.html.
6. Google Analytics and Google Tag Manager
We use Google Analytics to understand how our website is used and Google Tag Manager to manage certain scripts and services technically.
Google Analytics may process data about pages visited, interactions, devices and other usage characteristics.
Google Tag Manager is a script management tool. The data collected through managed scripts depends on the configured tags.
Analytics cookies and other non-essential tracking technologies require prior consent.
You can find more information about cookies and similar technologies in our cookie policy.
7. Who do we share your personal data with?
We do not sell your personal data.
To provide our website and services, we work with external providers, including:
- Hosting providers for technical operation, security and storage of website data.
- Email providers for receiving and sending messages.
- Social Intents for online chat.
- Google for website analytics and script management.
These parties may access personal data to the extent necessary to provide their services.
When an external party processes personal data on behalf of Moonworks, that processing must be governed by appropriate contractual and technical safeguards.
Personal data may also be disclosed when legally required.
8. How long do we keep your data?
We use the following retention periods as a starting point:
Contact forms and email enquiries: 24 months
We apply a maximum retention period of 24 months after the last relevant contact. A different period may apply if an enquiry leads to a customer relationship or a legal obligation requires longer retention.
Social Intents chat conversations: 12 months
For chat conversations, we aim for a maximum retention period of 12 months. The application of this period within Social Intents still needs technical confirmation.
Technical server logs: 30 days
For regular technical server logs, we aim for a maximum retention period of 30 days. The hosting provider’s actual settings still need checking. Data required for a specific security incident may be kept longer where justified and necessary.
Customer and contract data
We retain this data as long as necessary to perform our agreements, follow up on our services and meet any legal obligations or legitimate claims.
Analytics data
Analytics data retention periods depend on the service used and configured retention settings. The effective Google Analytics settings still need confirmation.
When data is no longer necessary, it is deleted or anonymised in accordance with the applicable retention periods.
9. How do we protect your personal data?
We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access and unlawful processing.
We focus on secure connections, access management, software updates, backups and limiting access to data.
We review our security measures where necessary. However, no digital system can guarantee complete security.
10. Is data processed outside Europe?
Certain external services, including Google and Social Intents services, may involve processing or transferring personal data outside the European Economic Area.
Such transfers must comply with applicable legal conditions, for example through a European Commission adequacy decision or appropriate contractual safeguards.
The specific transfers and safeguards depend on the services used and their current contractual arrangements.
11. What rights do you have?
Under the General Data Protection Regulation (GDPR), depending on the processing and applicable conditions, you have the right to:
- Access your personal data.
- Have inaccurate or incomplete data corrected.
- Have your data deleted.
- Have the processing of your data restricted.
- Object to certain processing.
- Have your data transferred where that right applies.
- Withdraw your consent at any time where processing is based on it.
To exercise your rights, email info@moonworks.be.
We normally respond to your request within one month. Where legally permitted and necessary, this period may be extended.
We may request additional information where needed to verify your identity.
12. Cookies and similar technologies
Our website uses or may use cookies and similar technologies for technical features, online chat and website analytics.
Cookies and similar technologies that are not strictly necessary require prior consent.
The technologies actually used and their applicable retention periods are explained further in our cookie policy.
